When scheduling meetings for any internal CRM users (and clients), use the ‘Appointment’ option in the Service Calendar entity. Go to Service > Service Calendar and select Appointment on the ribbon:

This will open a meeting request page (similar to or exactly the same as in Outlook).
Once the meeting is completed, saved and closed, the appointment will be populated in all the CRM User attendee’s calendars in Outlook (once synchronised) and in the Service Calendar in CRM.
